Arena Hire Special Terms and Conditions for Private Hire
IMPORTANT – PLEASE READ
These terms and conditions of arena hire (“Conditions”) together with the General Terms and Conditions of Entry to Keysoe International Ltd, Church Road, Keysoe, Bedfordshire, MK44 2JP apply to all persons hiring and using Keysoe International arenas and grounds. These Conditions are issued by Keysoe International Ltd (Keysoe or we or our). Acceptance of these Conditions will result in a legally binding contract between you as the Hirer and/or rider (the Hirer or you or your) and Keysoe which include the terms of the licence which Keysoe has granted to you to hire our facilities.
It is your responsibility to familiarise yourself with our General Terms and Conditions of Entry (KIF-0033) and these Special Terms and Conditions. If you do not understand or have any questions relating to these Conditions or any Special Conditions you should contact Keysoe without delay for clarification.
These Conditions may also be referred to as an “Private Arena Hire Contract”.
Entry to Keysoe shall be at our discretion. We reserve the right to refuse entry to or expel any person from the property in accordance with these Conditions.
Keysoe International Limited is a company incorporated and registered in England and Wales with company number 13033311 whose registered office is at Harrowden Court, 66-80 Huxley Close, Park Farm Industrial Estate, Wellingborough, Northamptonshire, NN8 6AB, United Kingdom.
The following Conditions apply to all Hirers / riders: –
1. BOOKING AND PAYMENT
1.1. Sessions are booked online at https://www.keysoe.com/
1.2. Full payment of the required fee is required at the time of booking to reserve the session date/s selected. A secure payment link will be provided. Cash payments are not accepted.
1.3. A refundable Poo Picking Deposit (“Deposit”) will be charged at the time of booking. Refer to clauses 4.18 to 4.22 for details.
1.4. A non-refundable administrative booking charge of £2.00 to cover transaction fees is added to each order at checkout.
1.5. If you are making a private booking as a lone rider you are not permitted to attend alone. You must be always accompanied by a responsible person over the age of 18 who can raise an alarm in the event of an emergency when you are riding.
1.6. You may not hire the facilities outside of normal business hours.
1.7. You must provide emergency contact details on the booking. Failure to do so will mean you cannot complete your booking.
1.8. When the booking is confirmed then a legal contract will be formed on the terms set out herein, and any documents attached, between you as the Hirer and us as Keysoe.
2. ON ARRIVAL
2.1. Hirers / riders must report to the security hut at the entrance on arrival and obtain a visitors pass and then immediately report to Keysoe Reception to sign in.
2.2. If you have booked stables, these will be allocated to you on arrival at Keysoe Reception.
2.3. Hirers / riders must arrive in plenty of time to make a prompt start in the arena and must not run over the allotted time slot. Keysoe reserves the right to levy additional charges if sessions do not run to time.
3. SAFETY EQUIPMENT
3.1. All Hirers / riders are deemed responsible and must ensure full compliance with relevant health and safety rules. Keysoe reserves the right to stop any activities which we consider to be contrary to these rules or which we consider unsafe.
3.2. All riders wear the correct safety equipment for the equestrian activity they are participating in as follows:
3.3. Safety Equipment – Arena Cross, Arena Cross Country and Eventing
3.3.1. For cross-country riding at Keysoe (at all levels) including Eventing, Arena Eventing whether it be tests, rallies, competition, or training:
• A body protector is compulsory and must meet BETA 2018 Level 3 Standard (blue and black label).
• An air jacket is strongly recommended and must only be used in addition to a body protector which meets BETA 2018 Level 3 standard (blue and black label).
• Keysoe is consistent with fellow British Equestrian (BEF) Member bodies including British Eventing in its Standards for Riding Hats. A jockey skull cap must be worn with no fixed peak, peak type extensions or noticeable protuberances above the eyes or to the front and should have an even round or elliptical shape with a smooth or slightly abrasive surface, having no peak or peak type extensions. Noticeable protuberances above the eyes or to the front not greater than 5mm, smooth and rounded in nature are permitted. A removable hat cover with a light flexible peak may be used if required.
• No recording device is permitted (e.g. hat or body cameras) as they may have a negative effect on the performance of safety equipment worn.
• Long hair must be tied back and secured appropriately.
• Appropriate riding footwear must be worn whilst mounted, with a small square heal.
3.4. Safety Equipment – Showjumping
3.4.1. For showjumping at Keysoe (at all levels) whether it be rallies, competition, or training:
• A body protector is strongly recommended to BETA 2018 Level 3 Standard (blue and black label).
• An air jacket is strongly recommended. This can be used with or without the addition of a body protector.
• Keysoe is consistent with fellow British Equestrian (BEF) Member bodies including British Showjumping in its Standards for Riding Hats. Riders must always wear a protective hat when mounted. Only hats to the following specifications are acceptable:

PAS 015: 2011 with BSI Kitemark or Inspec IC Mark
(BS) EN 1384:2023 with BSI Kitemark or Inspec IC Mark
VG1 with BSI Kitemark or Inspec IC Mark
ASTM-F1163 2015 & 2023 with the SEI mark
AS/NZS 3838, 2006 with SAI Global Mark
• No recording device is permitted (e.g. hat or body cameras) as they may have a negative effect on the performance of safety equipment worn.
• Long hair must be tied back and secured appropriately.
• Appropriate riding footwear must be worn whilst mounted, with a small square heal.
3.5. Safety Equipment – Dressage
3.5.1. For dressage at Keysoe (at all levels) whether it be tests, rallies competition, or training:
• Use of a body protector and or air jacket is at the discretion of the rider.
• Keysoe is consistent with fellow British Equestrian (BEF) Member bodies including British Dressage in its Standards for Riding Hats. Riders must always wear a protective hat when mounted. Only hats to the following specifications are acceptable:

4. EQUINE ACTIVITY RULES
4.1. All horses MUST have up to date flu and tetanus vaccinations and be prepared to show their passports upon request. Keysoe runs on the 12-month vaccination rule.
4.2. Horses must be properly secured when in their horse boxes or trailers. Ensuring the horses welfare is a priority.
4.3. No horse is to be left unattended or allowed to dig up the lorry park surface.
4.4. No horses are to be tied to buildings, fencing or with hays nets outside of the trailer or horse box in the lorry parks.
4.5. Horses must only move through areas shared with pedestrians at walk.
4.6. Riding is only permitted in the designated areas. Horses can be mounted in the lorry park and walk mounted to these areas.
4.7. Hooves must be picked out to remove all stones and mud before entering any arena. Keysoe reserves the right to fine the attendee £25.00 if you do not comply.
4.8. Warming up is only permitted in the designated areas. You must not warm up in any other area on the Keysoe site.
4.9. Lunging is not permitted in any of the arenas.
4.10. Attendees must follow the “Rules of the School”. These are:
4.10.1. Ensure that the gate into the arena is always closed and request entry or exit.
4.10.2. Pass left to left.
4.10.3. Give way to riders in a faster pace.
4.10.4. When using a jump only use it in the direction that it is flagged or numbered.
4.11. No attendee shall allow a stallion for which they are responsible as owner, lessee, authorised agent or rider to be on site without taking adequate precautions to ensure no one is put at risk of injury. Stallions must display a Stallion Disc and wear Stallion Ribbon in their tail.
4.12. Attendees are responsible for ensuring they exercise their horse within their capabilities and fitness levels appropriate for them and for their horse.
4.13. Attendees must ensure their horse is deemed fit and healthy enough to attend the session. If the any official deems your horse to be tiring during an event, you will be asked to stop the activity.
4.14. Keysoe reserves the right to immediately terminate an equestrian session for any reason deemed appropriate and necessary. This includes but is not limited to a horse being mistreated and / or the rider acting inappropriately.
4.15. Keysoe reserves the right to call a vet should they see a horse which they believe compromises the welfare of the animal. This will be at full cost to the attendee.
4.16. Only rape straw is permitted in the stables. All bedding must be purchased from Keysoe.
4.17. Mucking out of horse boxes into car and lorry parks is strictly prohibited.
4.18. The Hirer must have someone with them to poo pick. There is no exception to this rule.
4.19. The arena must be thoroughly poo picked as each dropping is done, and not just at the end of the hire period. This is to prevent it being ridden through and scattered.
4.20. All remnants of droppings must be removed, no matter how small. We prefer you to take small amounts of surface than leave bits of droppings.
4.21. If you are sharing the arena with other bookings, you must all co-operate and work together to ensure the arena is clear of droppings. This is a joint responsibility, and any droppings left may result in nobody having their Deposit refunded. Contact Keysoe Reception at the time to report any issues.
4.22. The arena is checked for cleanliness by our experienced grounds team at the end of each booking. If the area is clean and clear of droppings then a refund of the Deposit will be issued within 7 days.
5. ACCIDENTS AND INCIDENTS
5.1. All accidents or incidents involving the rider, horse and/or spectator must be reported to Keysoe Reception immediately, after contacting the emergency services if applicable.
5.2. In the event of an accident, including a fall, a Keysoe First Aider must be called assess the type and severity of the accident, and any injuries sustained and decide if the rider can continue.
5.3. The Keysoe First Aider’s decision will be final.
5.4. All accidents of any nature, falls or otherwise, must be documented by the Keysoe first aider and the rider on a Keysoe Accident Form and submitted to Keysoe Reception as soon as possible and no later than the end of the day in which the accident occurred.
6. GENERAL
6.1. All Attendees must familiarise themselves and abide by the Keysoe General Terms and Conditions of Entry (KIF-0033) as published on our website.
6.2. Children aged under the age of 18 must be accompanied by a responsible adult (over 18) and must always be supervised. You are responsible for each child that you bring onto the property and shall ensure each child complies with these Conditions.
6.3. Any damage or breakages must be reported to Keysoe Reception immediately.
6.4. Smoking is not permitted anywhere on site. This also includes E-cigarettes and other forms of vapour emitting devices.
6.5. Dogs are not permitted in any area of the property except in the car park, unless required for disabled assistance (Assistant Dogs Only).
6.6. Where dogs are permitted, they must well-behaved and always kept on a short lead. They must not be allowed to foul on the property. If this happens then any mess must be cleaned up immediately.
6.7. You will be asked to remove your dog from the site if they are causing a disturbance.
7. ON DEPARTURE
7.1. Arenas, lorry parks and walkways must be poo picked before you leave. CCTV is in operation and a the Deposit will not be refunded if these areas are not poo picked.
7.2. All litter must be disposed of in the bins provided or taken with you.
7.3. If applicable stables must be completely cleared, including all rape straw removed, and left clean and tidy. Failure to comply with this will mean an additional charge will be made.
7.4. Hirers / riders must report to Keysoe Reception on departure to sign out and hand badges back into the security hut upon exiting the property.
8. IN CASE OF EMERGENCY
8.1. In the event of an emergency, you must contact 01234 708400 after contacting the emergency services if appliable.
9. INSURANCE
9.1. It is a condition of hire that Hirers / riders have Third Party Liability insurance cover.
9.2. Keysoe reserves the right to request evidence from the Hirer of their insurance cover and furthermore reserves the right to refuse hire if it is established that valid insurance is not in place.
10. ONLINE CODE OF CONDUCT
10.1. It is the responsibility of the Hirer / rider to always comply with the requirements of Keysoe’s Online Code of Conduct, including when you use any forums of Keysoe International Ltd or any related company’s social networking sites or other non-Keysoe International media sites. Please refer to our Online Code of Conduct published on the Keysoe International Ltd website.
10.2. Failure by the Hirer / rider to comply with these provisions may result in Keysoe taking action against that individual or individuals if they bring the name and reputation of Keysoe International Ltd into disrepute. Civil and/or criminal proceedings could also be brought against that individual or individuals for breaching this Code where applicable.
11. INDEMNITY
11.1. It is a condition of use of any of the facilities at Keysoe that each user shall indemnify the owners and any associated company or third parties against any claim or legal action whatsoever arising out of any use or accident. This indemnity will cover any and all costs including any professional or legal fees to defend any such claims.
12. LIABILITY
12.1. Use of Keysoe facilities is at the Hirers and rider’s own risk. Neither the owners or any of its representatives or staff accept any responsibility or liability for any injury, accident, damage or illness to any person, property or animal whatsoever, or for any loss whatsoever, arising out of, or occurring during any use of the facilities, to the fullest extent permissible by law.
12.2. Keysoe shall have no liability to provide any indemnity or benefit for any legal liability directly or indirectly resulting from or in consequence of any Injury to any person playing in, training in, or practising any sport.
12.3. The Hirer / rider will arrange and bear the full cost of horse disposal and will work in conjunction with Keysoe in this event.
13. CANCELLATION
13.1. In event of cancellation of the booked session by the Hirer;
13.1.1. With more than 4 weeks (28 days) notice before the hire date Keysoe will refund the Hirer, deducting a 10% administration fee from the amount paid.
13.1.2. With less than 4 weeks (28 days) notice before the hire date no refund will be payable to the Hirer.
13.2. In event of cancellation of the booked session by Keysoe the Hirer will be refunded in full.
14. DISPUTES
14.1. If any dispute arises between us in relation to these Conditions, we shall use our reasonable endeavours to consult or negotiate with you in good faith to resolve such disputes.
15. ENFORCEMENT
15.1. No failure or delay to enforce our rights under these Conditions, should be construed as a waiver of Keysoe’s right to do so.
16. LAW
16.1. These Conditions and any dispute or claim arising out of or in connection with it or its subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with English law.
16.2. In the event of a dispute relating to these Conditions, any contract we have with you or any other claim you may have against Keysoe (including in negligence) you irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with these Conditions.
16.3. Each of the paragraphs of these Conditions operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain full and in force.
